 Duties may include
Planning, organizing, and coordinating accounts payable and accounts receivable processes; procurement; and
coordinating day to day office management activities. Performs other related work as required.
• Receives rents tenant rents; input receipts into daily cash drawer
• Balances monthly tenant rents receivable and ensures all rents collected are deposited timely
• Codes and inputs payables; tracks and records receivables
• Procures goods and services for the day to day operations of the administrative office
• Orders and maintains office supplies as needed
• Maintains agency vehicles according to manufacturer schedules, ensures vehicles are cleaned inside and
outside monthly, deliver vehicles for service and pick up vehicles following service, obtains written cost
estimates for all vehicle repair work, maintains vehicles registration, insurance and tags
• Prepares all banking transactions to include deposit, reconciles accounts, and verifies receipts
• Assists the Executive Director and accountant with preparation and timely submission of annual budgets
• Processes monthly landlord payments and generates landlord payment statements
• Posts and tracks rent collection losses
• Maintains all financial files in preparation for annual audit
• Assists the Executive Director with preparation of all budgets, tracks and reports on agency spending
• Maintains office equipment and orders equipment as needed to maintain operations
• Troubleshoots and resolves all IT related issues/updates agency website
• Works closely with Executive Director regarding invitations to bid; request for proposals and contract
preparation by preparing advertisements and posting
• Assists the Executive Director with year-end financial close out
• Maintains all agency contracts and contract files and ensures that all files are complete
• Prepares and submits monthly reports providing details to the E.D. for all areas of responsibility
• Performs other related work as required
