POSITION DESCRIPTION
The Herbert Wertheim College of Medicine is currently seeking a Program Specialist to join our team of professionals.
Duties include:
- Maintains and oversees databases associated with the Research Scholarship Course (RSC) and related research projects, ensuring data integrity and compliance with institutional standards.
- Assists in the coordination of the annual Herbert Wertheim College of Medicine (HWCOM) Research Symposium and assists in the planning and preparation of events (e.g. Townhall meetings) and internal meetings of the Research Strand.
- Participates in data entry tasks using appropriate database systems. Ensures strict confidentiality, adhere to security measures, and upholds the highest standards of information protection.
- Provides administrative and logistical support to Research Strand faculty, program administrators, and coordinators. Tasks include maintaining and distributing teaching materials, creating weekly course schedules, and preparing course-related materials for the Research Strand courses.
- Coordinates with the Office of International Affairs and the Division of Medical and Population Health Sciences, Education and Research, and the Herbert Wertheim College of Medicine (HWCOM) to coordinate scheduling and logistics for international students participating in the Research Scholarship Course.
- Serves as a liaison between the Office of International Affairs, the Division of Medical and Population Health Sciences, Education and Research, HWCOM, and international institutions to facilitate student participation in the Research Scholarship Course.
- Facilitates the communications between the Office of International Affairs, the Division of Medical and Population Health Sciences Education and Research, HWCOM, and the international institutions sending students for the Research Scholarship Course.
- Assists the Principal Investigator (PI) with Institutional Review Board (IRB) related activities and coordination within the division and the Office of Medical Education
- Assists in following up with student submissions for IRB protocols, including reviewing turned in protocols for completion.
- Assists the Research Strand faculty, program administrators, and program coordinators with clerical tasks as needed.
- Picks up/delivers mail for the Research Strand as well as collects travel-related information from faculty/staff to process requests, reimbursements and collects information related to student/faculty volunteers for the Research Strand.
- Performs other duties as assigned or directed. Omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
MINIMUM QUALIFICATIONS
- High school diploma or GED and six (6) years of office or related experience coordinating functions of an office or department.
