POSITION DESCRIPTION
The Herbert Wertheim College of Medicine is currently seeking a Sr. Program Coordinator to join our team of professionals.
Duties include:
- Coordinates and oversees all administrative functions for the Clinical Skills I and II (CS I and CSII) courses and provides administrative support to the Directors of Clinical Skills courses. Delegates and monitors tasks to the Clinical Skills Program Specialist to ensure sessions and projects are completed in a timely manner. Works with the Clinical Skills Program Specialist to tackle projects and troubleshoot issues.
- Manages and coordinates all Clinical Skills I & II activities, including but not limited to creating logistics, recruiting, facilitating faculty needs, scheduling, and coordinating of students. Prepares course sessions including but not limited to coordinating the use of classroom technologies and technology set-up, preparing handouts and materials, requesting, and setting up necessary simulation equipment and other duties as determined by the session requirements.
- Organizes, tracks, and maintains electronic repository of all curricular materials. Ensures receipt of adequately completed evaluation forms and assignments. Ensures completion of and maintenance of grade book and reports. Ensures currency of course website materials and announcements, including the syllabus. Tracks remediation of absences and other student issues. Manages maintenance of files, correspondence, database, and room bookings.
- Manages projections and actuals of instructional worksheets for CSI and CSII courses, updates longitudinal clinical skills I & II worksheet, and maintains all other OME documents pertaining to the courses and the Clinical Medicine Strand.
- Establishes and maintains close contact with university departments to ensure coordination of effort and exchange of information. Facilitates the workflow for the office and provides follow up on pending actions. Serves as a primary information resource regarding Clinical Skills I & II policies, procedures, and operational functions.
- Assists in the development of program materials and resources. Assists in the development of projects such as in-depth review of the course syllabi, streamlining course processes and digitizing forms and documents.
- Provides logistics coordination for meetings, faculty development, and conferences relevant to the Clinical Skills I and II courses. Schedules conferences, appointments, and travel paperwork for faculty. Makes reservations for meeting locations and coordinates any necessary equipment.
- Participates in the preparation of simulation sessions for the Clinical Skills I and II courses, including assisting with Educational Management Solutions (EMS) session creation, monitoring running sessions and logging incident reports, set up and breakdown of simulation equipment, materials, and supplies. Manages the logistics of student and faculty groupings and preparation of other necessary simulation related materials. Helps faculty and students with questions regarding EMS and other technologies.
- Assists with the communication of data to appropriate persons including the exporting and reporting of data collected within EMS. Maintains, creates, and manages, and shares OSCE Rater, SP and student performance portfolios.
- Collaborates with other period coordinators to schedule sessions in a manner to best accommodate quizzes and examinations. Serves as liaison between the Directors and other members of the College of Medicine, medical centers, and other departments and organizations as appropriate.
- Assists with the setup, logistics, and operations of other Simulation Centers activities including Tours and other events as needed.
- Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
- Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
MINIMUM QUALIFICATIONS
- Bachelor's degree and three (3) years of office or related experience.
DESIRED QUALIFICATIONS
One year of experience in higher education within an administrative role.
One year of experience providing administrative and logistical support for Clinical Skills and Simulation Operations.
